Academic Department Coordinator/Science Center Program Coordinator


Amherst College invites applications for the Academic Department Coordinator/Science Center Program Coordinator position. Amherst College has profoundly transformed its student body in terms of socioeconomic status, ethnicity, and nationality, among other areas. The Academic Department Coordinator/Science Center Program Coordinator is 35 hours per week for 42 weeks (academic year), 20 hours per week (summer) position, job group and level AO-4. The Academic Department Coordinator/Science Center Program Coordinator is a dual role consisting of the following:
The Academic Department Coordinator supports the administrative and logistical efforts of the Computer Science Department, serves as a liaison to the campus community, and ensures the efficient operation of the department office. The Academic Department Coordinator takes appropriate actions to support a diverse workforce and participates in the College's efforts to create a respectful, inclusive, and welcoming work environment.
This position further provides administrative support to the Science Center Administrative Director. The Science Center Program Coordinator will lead the operational management of events, workshops, conferences and other activities through partnership with Science Center Administrative Director, faculty, staff as well as other Amherst College community members and departments. As well, the coordinator will be responsible for initiating and managing online and print communications on these programs as well maintain general Science Center communication outreach (such as e-newsletter, flyers, etc). The coordinator will also work directly with student organizations in their use of the facilities to ensure successful programming in an active research facility. The coordinator will serve as the lead point on granting access to facility users to Science Center labs, classrooms and restricted facilities through the key card access system (including confirming that users have received all safety training before access is granted to restricted areas). The coordinator will support the Administrative Director on additional projects and tasks as assigned.

Key Responsibilities
Academic Department Coordinator
Administrative Support


  • Serve as departmental liaison to the College community (e.g., Registrar, Controller, Facilities, Catering)


  • Manage and process student payroll, including course graders and teaching assistants


  • Assist with data entry for Computer Science placement of entering students


  • Process end-of-semester student evaluations of non-tenured faculty and lecturers


  • Assist the chair in soliciting and assembling materials for tenure, re-appointment, and promotion cases


  • Assist with logistics of faculty searches


  • Promptly process invoice, reimbursement, and honorarium payments


  • Maintain up-to-date departmental lists of majors, course enrollments, and other information.


  • Schedule rooms for review sessions, exams, evening office hours for TAs, and other departmental activities



Office Management / Space Management


  • Serve as first point of contact in the Computer Science Department


  • Purchase and maintain office equipment and supplies


  • Track textbooks and other departmental resources for graders and TAs


  • Maintain department budget and regularly apprise the chair of its status


  • Respond to departmental inquiries


  • Update information on department website


  • Manage key card access to departmental spaces



Events


  • Coordinate logistics for department events and their presenters - invitations, publicity, receptions, travel, meals, and lodging


  • Inform faculty of all upcoming deadlines


  • Maintain calendar of departmental events and obligations



Course Support


  • Submit information concerning course planning, schedule, and catalog to the registrar in a timely manner


  • Assist faculty with organization of departmental Comprehensive Exams


  • Assist faculty with copying of course materials and related tasks



Science Center Program Coordinator
Administrative Support


  • Calendar management for the Science Center Administrative Director


  • Assist in the logistics and coordination of Science Center activities



Office Management/Space Management


  • Serve as first point of contact in the Science Center


  • Maintain department budget and regularly apprise the Science Center Administrative Director of its status


  • Respond to Science Center inquiries


  • Update information on Science Center's website


  • Manage key card access to Science Center labs, classrooms and other areas, as designated


  • Provide facility support (i.e. loading dock) as needed


  • Implement building best practices and them to the Science Center users



Events


  • Coordinate logistics for Science Center events and their presenters - invitations, publicity, receptions, travel, meals, and lodging


  • Inform Director of all upcoming deadlines


  • Maintain calendar of Science Center events and obligations



QUALIFICATIONS
Required


  • High School Diploma or equivalent


  • 3 years of related experience


  • Strong written and verbal communication, interpersonal, time-management, organizational, and customer-service skills


  • Ability to take initiative, work independently, and work collaboratively


  • Demonstrated high level of attention to detail


  • Sensitivity to issues of confidentiality


  • Proficiency in Microsoft Office, ability to learn new software


  • Commitment to or experience working collaboratively with a diverse community



Preferred


  • Associate's Degree


  • 5 years or more of related experience at an academic institution

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
